Checklist, Tricks and Tips

2. New York Toy Fair is actually three shows in one for us.  EED Reps (as exhibitors) meet with clients at our booth at the convention center, BBP team (as Exhibitors) meet with licensors, factories and press at our booth, and Purchasing (as Buyers) meet with other vendors at their booths, and sometimes at our booth if the vendor doesn’t have a booth.

3. You are “on duty” and represent EE Distribution / Entertainment Earth / Bif Bang Pow! 24-hours a day while in New York. Your ongoing professionalism is requested.  Company handbook policies are applicable for business trips.  Thanks!

4. Everyone needs to be as flexible, helpful, kind and forgiving as possible.  Mistakes happen, people are tired, meetings run late (even offsite meetings), lunch breaks are missed, and then when lunch breaks do happen, then may run long.  If someone isn’t at the booth at the scheduled time, cover for them, be flexible and help them out.  They may be in a meeting that hasn’t ended, stuck in a long line, etc.  They will return the favor to you.

5. Please arrive on time each morning (no later than 8:45am), and help organize, clean and prep the booth.

6. Please throw away trash and keep the booth organized and clean throughout the day.  Stay each evening until the booth is completely cleaned and ready for the next day.

7. Watch what you say and keep your voices down when talking in public.  People near you at the hotel, bars, food court, parties and at restaurants ARE customers / competitors / vendors.

8. Breakfast is served at the hotel.  Lunch will be either brought in to the booth, or you will be able to go to the convention center food court or food trucks.  For dinners, we schedule optional company dinners each night.  Different departments break off in smaller groups due to our large party size, however (i.e. an EED rep might meet with a client, purchasing team might meet with a vendor, etc.).  Staff may also have family or friends in town and can arrange dinner separately.

9. Take this document.  Print it out (or take it with you on your smartphone). Keep it on you if you can.  It has everything you need!

10. Please re-check your flight reservation and times.  Every single flight has changed since I booked them in August.

11. Bring your drivers license, phone and charger.

12. Fast Facts: BBP is showing 495 products, 308 are new.  Last year we showed 252 products with 128 new.  We are introducing 151 Peg Pals.

13. Bring your buyers badge confirmation.  Jodie has everyone’s Exhibitor badge confirmation and will give you a badge when you arrive.

14. Does everyone know whom he or she is travelling with and how to get where they are going?

15. Does everyone have everyone else's telephone numbers programmed into their phones?

16. Does HR know when (what day and time) you are leaving EE and returning to work at EE after the show?

17. Pack or buy a lunch the day you are flying.  Buy a meal at JFK airport before you come home. 

18. There is poor Internet reception at our booth, which is in the basement.  Cell reception and data is spotty due to our location.

20. Optional morning routine: Wake up at 6:45am, eat in the lobby from 7:20am-8am, meet back at the lobby by 8:15am, grab fruit, muffins, coffee to go. Walking to the convention center takes about 20 to 25 minutes.

21. NEW FOR 2016! Subway Train 7 (called the Flushing Local or IRT Flushing Line). The first addition to the New York subway system in 26 years opened on September 13, 2015.  And the good news is, it essentially goes from our Hotel (Times Square-42 Street) to Javits (34 Street – Hudson Yards) in one stop.  Total commute time is still about 20 minutes. 
o “Southbound” Times Square-42 Street (Broadway @ 7 Ave) to 34 Street-Hudson Yards (34 Street / 11 Ave) takes about 4 minutes.
o “Northbound” 34 Street-Hudson Yards to Times Square-42 Street takes about 3 minutes.
o A single ride ticket is $3.00 (sold at vending machines in the station).  MetroCards can be loaded and reloaded with amounts starting at $5.50 (but add a $1.00 one-time fee for the card itself), with each ride costing $2.75 when using a Metro Cord.  Each card can pay for up to 4 people at a time.  Some retailers sell pre-valued MetroCards with 4, 8 or 16 rides ready to go.  EE reimburses for Taxis or Subways in certain circumstances only (see page 6).

22. My favorite walking routes from the hotel to convention center are:

No Stops: 40th Street to 9th Ave.  Left on 9th to 39th.  Take 39th to 11th Ave / convention center.

Stop at Duane Reade drugstore (Water / Gum / Tylenol / Candy / Chips / Pepsi for the day): 40th Street to 9th Ave.  Left on 9th to 38th.  Duane Reade is on the corner of 38th and 10th Ave. Take 37th to 11th Ave / convention center.

Stop at Dunkin Donuts: 40th street West to 9th. Left on 9th to 37th.  Dunkin Donuts is on the corner.  Take 37th to 11th Ave / convention center.

Caution: 37th and 38th street between 10th and 11th have the Central Park Horse Carriages headquarters.  Horses + smell + mud = yuck.
